Edit Device information (T&A)

The T&A (Time & Attendance) feature can be used for more than just checking an employee's attendance history. When you install the devcie, the T&A feature is set to disabled. To enable the feature, you must manually change the settings for each device. This feature only appears if the device offer T&A on the Edit Device panel.

In this article, you'll learn 1) what the T&A feature is, and 2) the different ways to set it up and apply it, as well as a simple example of how to use it.


What is the T&A

T&A(Time & Attendance) is an add-on feature that can be used to record detailed information about a user's entry and exit times, as well as the type of entry and exit (In, Out, Break Time, etc.).
When T&A is enabled, you'll see additional T&A history in the Event Log menu. If T&A row is not appear on the far right of the event log table, you can use the table customization feature to add a T&A entry.



How to Use the T&A

When you first install a device, even if it offers a T&A(Time & Attendance) feature, the feature is set to disabled. You need to change the setting manually in Edit device panel for each device.

To edit device information, from the Registered Devices menu, click anywhere in the area of the device which you want to edit. When the Edit device panel appears, scroll down to the bottom of the panel to find the T&A Setting. Depending on how you want to use it on your site, you can select a mode to use. Refer examples of usage below.

1. User Selects

When user authenticate thier mobile card to open the door, everytime they must select the T&A status button directly from the device's screen.
Example. You want to see why employees leave the office, whether it's for leaving or breaks.
1. click the device you want to set up T&A for, and find the T&A settings feature at the bottom of the Edit device panel.
2. Select the T&A mode as User Select.
3. Under T&A Events, enter "Leaving" in the label for code 1.
4. For Code 2, enter "Break" in the label.
5. As you type in the labels, the Airfob device will show an additional T&A state to choose from.
6. Click Save to reflect the updated T&A settings on the device.
7. When the user leaves the office, they will need to touch one of the buttons, either Leaving or Break Time, and the history will be displayed in the Event Logs in the Airfob Pro portal.

2. By Schedule

The time and date of the access level applied to the user's mobile card determines which T&A buttons are available for selection.
Example. Display regular business hours and overtime hours differently during an employee's schedule.
1. In T&A mode, select By Schedule.
2. In the label for code 1 of the T&A Event, enter "Entry" and select Regular business hours from the schedule.
3. Enter "Entry (Overtime)" in the label for code 2, and select the overtime hours from the schedule.
※ You must have created a regular business hours schedule and an overtime schedule in Access Management > Schedules menu. You must grant the user an access level with both schedules applied.
4. When the user selects the attendance mode when coming to work on the weekend or public holiday, they cannot select Normal Entry, and can only select the Overtime button.
5. Administrators can check the Event Logs of the Airfob Pro portal to see the history of the user's entry, separated by time of entry.

3. Last Choice

The admin or first user to authenticate to the Airfob device will be locked into the selected T&A status, and the next user will not need to press the T&A button. If another user presses a different T&A button on the device, the next user will also show the changed T&A status. This can be used when entering or leaving in bulk, and saves you the hassle of having to select a T&A for every user.
Example. A single device installed in a classroom to authenticate students entering and leaving, and to see who has dropped out.
1. In T&A mode, select Last Choice.
2. In the T&A Event, enter "Entry" in the label for code 1.
3. In the T&A event, enter "Exit" in the label for code 2.
4. Before the class starts, the administrator or instructor will be the first to authenticate the mobile card to the Airfob device and click the Entry button.
5. And other students will only authenticate thier mobile card to enter and not select T&A (automatically marked as 'Entry' in the event log).
6. When the lecture ends, the administrator or instructor will be the first to verify the mobile card and click the Exit button.
7. Students leaving the classroom will not select Time & Attendance, they will only authenticate their mobile card and leave. (This will automatically be marked as an 'Exit' in the event log).

4. Fixed

All users who authenticate to an Airfob device are recorded in a fixed T&A mode, which cannot be selected or changed by the user. Users don't need to do anything with T&A feature, and only need to authenticate their mobile card or RFID to the device to open the door. From the Monitoring menu, admins can see that all users are recorded in Fixed T&A.
Example. If you have a single device installed on a meeting room door, and you only need to see the entry history of users who have reservations.
1. Select Fixed from the T&A mode.
2. Enter "Meeting Room A Entry" in the label for Code 1.
3. At 10:00 am, the user who booked to use Meeting Room A authenticates their mobile card to the device.
4. In the Event Logs menu of the Airfob Pro portal, the time of the user's entry into Meeting Room A is displayed.
